PRIVACY POLICY FOR KUST HOTEL & SPA AND RESTAURANT TAGE

Within KUST Hotel & Spa in Piteå AB (org.nr. 559020-5851) and all companies within the Skoogs Handels AB group (org.nr. 556635-8353), we process personal data for employees, suppliers, guests, and other users who use our services. The Skoogs Handels AB group consists of KUST Hotel & Spa in Piteå AB, Tage Restaurang AB, Skoogs Bränsle AB, Skelleftebränslen AB, and Skoogs Fastigheter i Piteå AB.

We care about every individual’s privacy and follow applicable legislation aimed at protecting you as a private individual. Below, KUST Hotel & Spa in Piteå AB is referred to as “KUST Hotel & Spa”.
KUST Hotel & Spa is the data controller concerning the services. Personal data refers to all information that can be directly or indirectly linked to a living physical person today. We strive to maintain a high level of protection for personal privacy and primarily use personal data to administer, provide, develop, and maintain our services.

By submitting your personal data to us and accepting applicable terms, you consent to your personal data being processed in accordance with each service and our privacy policy. Changes to our privacy policy are announced by publishing the new terms on the KUST Hotel & Spa website and we recommend that you regularly review them.

1. Collection and processing of personal data

KUST Hotel & Spa collects and processes your personal data, i.e., information that can identify you as an individual or can identify you, only if permitted by law. Collection and processing can occur when you make a booking, register for newsletters, submit guest surveys, enter into agreements, etc. Where a separate consent is required by law, we obtain such from you.

2. Information that we collect and how we use your personal data

We only collect personal data that is relevant for the purposes described in the specific terms for each service and in our privacy policy. The information we collect includes, for example, details such as name, address, phone number, email address, IP address, user history, information about your travel companions, booking references, payments, employment, emergency contacts, dietary requirements, personal requests, and other information you have chosen to provide us.

Our main purpose for collecting and processing personal data is so that KUST Hotel & Spa can fulfill its commitments under the agreement and improve the experience for you as an individual.

KUST Hotel & Spa uses personal data to:

• administer, provide, develop, and maintain the services,
• process your bookings and orders for the services (in accordance with the booking terms)
  – when you make a booking with us, we use your personal data to send booking confirmations, important information about the upcoming stay, and offers related to the stay. Such mailings are sent to the email address you provided at the time of booking.
  – during the stay, we may send information via email/SMS to the email address and/or mobile number provided at the time of booking. This may include details about available SPA times, important information for the stay, or reminders of scheduled appointments at the restaurant.
  – after the stay, we may also send out, for example, a survey asking you to answer questions about your stay to help us improve our services. We may also send an email thanking you for your visit and mailings within 120 days (private guests)/360 days (conference bookers) to promote offers and services that we believe you are interested in.
  – administer and register gift card and voucher purchases.
• diagnose errors, optimize the technology and be able to contact you in the event of a problem with a booking or the provision of the services,
• analyze and improve the quality of—and experience with—the services, personalize communication with you regarding our services, e.g., by creating a profile for you and sending offers that suit your profile as a user of our services,
• analyze statistics and user behaviors regarding our services,
• increase your benefit and experience of our services in other ways we believe you would appreciate, or market services and products, directly or indirectly, including behavioral marketing.
• send out emails in the form of newsletters and offers to you who have given separate consent via https://www.hotellkust.se/nyhetsbrev or at the time of booking.

3. Storage and transfer of personal data

Your personal data will be stored for the period required to fulfill the purposes specified in this privacy policy. KUST Hotel & Spa deletes personal data in accordance with applicable legislation and deletes or anonymizes personal data when the purpose for processing them no longer exists. In determining the period during which your personal data will be stored, we particularly consider the retention requirements following the law, authority recommendations, industry practice, and any warranty commitments. If you have consented to subscribe to our newsletters, your contact information will be saved as long as you choose to continue receiving the newsletter. However, the data will not be stored longer than necessary for the purpose of the processing.

KUST Hotel & Spa stores personal data in accordance with our privacy policy and applicable legislation. In some cases, we may need to share personal data with other companies within the Skoogs Handels group to provide the service and fulfill our commitments to you. KUST Hotel & Spa ensures that other companies within the Skoogs Handels group receive clear guidelines for processing personal data and define the purposes for which personal data may be used.

KUST Hotel & Spa uses subcontractors, e.g., for computer operation, and personal data may be transferred to these subcontractors. Our subcontractors process your personal data only on behalf of KUST Hotel & Spa, in accordance with our instructions and after signing a personal data assistant agreement. KUST Hotel & Spa may disclose your data to third parties such as the police or other authorities if it concerns an investigation of a crime or if KUST Hotel & Spa is otherwise required to disclose such information by law or authority decision.

KUST Hotel & Spa generally does not transfer personal data to countries outside the EU/EEA, but if, for example, we have a subcontractor in a country outside the EU/EEA or it is necessary for us to be able to meet our contractual obligations to you, transfer of personal data outside the EU/EEA may occur. To ensure a high level of protection for your personal data in such situations and compliance with EU/EEA rules, KUST Hotel & Spa enters into personal data assistant agreements with such subcontractors. These personal data assistant agreements regulate the subcontractors’ processing of personal data and, where applicable, the transfer of personal data in accordance with applicable EU/EEA rules on the protection of personal data. The agreements include terms required by the EU Commission and fulfill the applicable law’s requirements to protect the transferred personal data.

4. Security, protection, and deletion of personal data

KUST Hotel & Spa has taken appropriate technical and organizational measures to protect your personal data against, e.g., loss, manipulation, or unauthorized access. We continuously adapt our security measures to ongoing technological developments.

5. Other applications/websites

The services may contain links to other applications and/or websites that are not controlled by KUST Hotel & Spa. We are not responsible for the content of linked applications/websites and the processing that may be carried out by the owners or operators of linked websites.

6. Cookies

KUST Hotel & Spa collects information via cookies on our digital services. Cookies are simple text files stored on your computer or mobile by a website’s server. 7. Modify, delete, and review your personal data

KUST Hotel & Spa will correct or delete incorrect or incomplete information at your request or when KUST Hotel & Spa discovers it. If your personal data changes, please inform us via email at gdpr@skoogs.se – write “Personal Data” in the subject line.

You have the right at any time and free of charge to request that KUST Hotel & Spa does not process your personal data for marketing purposes or withdraw your consent for this. Regarding marketing via email, you can unsubscribe at any time. By clicking on the unsubscribe link in the footer of all marketing emails, you ensure that future mailings to the email address that is the recipient are prevented. You can also unsubscribe by contacting us at gdpr@skoogs.se – write “Personal Data” in the subject line.

You also have the right free of charge to obtain an extract showing what personal data about you is being processed. The request must be made in writing to the address under point 9. The letter must contain your name, postal address, phone number, email address (used in communication with KUST Hotel & Spa), and a copy of your ID card. The extract is sent to your registered address. You can withdraw your consent to further personal processing at any time (not retroactively) Withdrawn consent does not affect such information that can be processed without consent, i.e., where we have a legal basis.

8. Transfer

If we sell, reorganize, or otherwise transfer all or part of our business, your personal data may be transferred as well.
